Payment Methods
Available payment options depend on the service, booking channel and time remaining before departure.
Online and advance payments
Depending on the booking, payment may be completed through our online booking system, a secure payment link, an invoice or a bank transfer.
The available payment options will normally be displayed during the booking process or confirmed directly by our team.
Online booking system
Selected scheduled tours and activities may be booked and paid for directly through our online booking system.
The booking system will display the applicable price, availability, payment conditions and cancellation terms before payment is completed.
Secure payment links
For selected private tours, customised programmes or direct bookings, we may provide a secure payment link.
Payment links are normally issued for a specific booking and should only be used by the intended customer. Please verify the booking details and amount before completing payment.
Invoices
Invoices must be paid in full by the due date stated on the invoice. Unless otherwise confirmed in writing, an unpaid invoice does not constitute a confirmed booking.
The customer is responsible for using the correct payment reference and ensuring that the full invoiced amount reaches Svalbard Photography AS.
Late payment may result in the release of reserved capacity or the cancellation of the provisional booking.
Bank transfers
Bank transfer may be available for selected direct bookings, private programmes, group reservations, business clients and production services.
Any transfer fees, intermediary bank charges or currency-conversion costs must be covered by the customer so that the full amount stated on the invoice is received.
International bank transfers may require several working days. Please allow sufficient time for the payment to reach us before the due date or departure.
Payments at our gallery or office
Where agreed in advance, selected purchases and bookings may be paid by card at our gallery and booking office in Longyearbyen.
Payment at the office is subject to opening hours, staff availability and confirmation that the requested service remains available.
Accepted payment cards
The accepted card types depend on the payment provider, terminal or booking platform used for the transaction.
The available card options will normally be displayed before payment is completed. Your card provider may apply additional conditions, exchange rates or international transaction charges.
Currency
Unless otherwise stated, prices are displayed and charged in Norwegian kroner (NOK).
Where a payment card or account uses another currency, the customer’s bank or payment provider may convert the transaction using its own exchange rate and may charge additional fees.
Svalbard Photography AS does not control exchange rates or fees applied by banks, card issuers or other payment providers.
When is a booking confirmed?
A booking is confirmed only when all of the following requirements have been met:
- The required payment or deposit has been received
- The requested service remains available
- The booking has been accepted by Svalbard Photography AS
- A written booking confirmation has been issued
A payment request, quotation or provisional reservation does not guarantee availability until the booking has been formally confirmed.
Deposits and partial payments
Certain private programmes, charters, group bookings, production services or customised arrangements may require a deposit.
The deposit amount, payment schedule and final due date will be stated in the quotation, invoice or booking confirmation.
Failure to pay an agreed instalment by the due date may result in the cancellation of the reservation.
Card processing and payment security
Card details are processed by the relevant booking system, payment provider or card terminal and are not normally stored directly by Svalbard Photography AS.
Payment providers may process personal information in accordance with their own privacy policies, security procedures and regulatory obligations.
Payment verification
In some cases, we may request additional information to verify a payment, confirm the identity of the payer or prevent unauthorised transactions.
A booking may remain pending until the payment has been successfully verified.
Failed or declined payments
If a payment is declined, interrupted or unsuccessful, the booking is not confirmed unless another payment method has been completed and a written confirmation has been issued.
Customers should contact their bank or card provider directly if a payment is rejected for reasons relating to their account, card or security settings.
Refunds
Where a refund is due under the applicable booking conditions, it will normally be returned through the original payment method.
Processing times depend on the payment provider, card issuer and bank. Currency fluctuations, exchange-rate differences and external bank fees are outside the control of Svalbard Photography AS.
Receipts and payment documentation
Customers may receive a receipt, invoice or payment confirmation depending on the payment method and booking channel used.
Please verify that your name, email address, booking details and billing information are correct before completing payment.

Please include your booking reference, invoice number or the name used for the reservation so that we can identify the booking efficiently.
